The purpose of this role is to manage the National Office reception area including answering switchboard and greeting visitors.
Key Responsibilities
Switchboard
- Control and answer switchboard promptly and efficiently.
- All phone calls are to be answered promptly and directed to the relevant extension number.
- Report any phone problems to IT and/or fix problems if possible.
- Keep Henderson Road phone list and National Branch list up to date and issue updates monthly or as required.
Mail
- Open, date stamp and distribute all incoming mail as soon as possible. Follow up with Mail Plus if mail hasn’t arrived in regular time frame.
- Open, date stamp and distribute paperwork received in overnight satchels from branches, delivered each morning and throughout the day. Follow up with Toll if satchels haven’t arrived in regular time frame.
- Sort and distribute paperwork/deliveries to staff members when required from other departments/buildings or customers.
- Process outgoing Australia Post mail daily.
- Keep quantity of postage stamps on hand as required.
- Order Express Post envelopes from Mail Plus and keep on hand as required.
- General Administration
- Distribute and fax Position Vacant notices to branches/employees and attach confirmation reports.
- Photocopy, bind and distribute induction manuals as required.
- Maintain copy of Staff Announcements in folder at Reception.
- Distribute BP statements on monthly basis.
- Distribute quarterly ‘Voice’ magazine to National Office employees.
- Record annual leave and absences from office so relieving staff are aware who to direct calls to.
- Various administration tasks assigned by different departments from time to time
Key Competencies, Skills and Qualifications
- Ability to handle a busy switchboard
- Minimum of five years reception experience
- Competent typing/word processing/spreadsheet skills and familiarity with Microsoft Word/Excel
- General office equipment experience such as photocopier/facsimile/binding machines etc
- Strong organisational skills
- Ability to undertake numerous tasks at once
- An eye for detail
- Ability to handle constant interruptions
- Ability to maintain a neat and tidy work area.
